What Is Missed Call Text Back, and Does It Work for Contractors?

In short

Missed call text back automatically texts a caller when a business doesn't answer, so the lead has a way to reply. For contractors it can recover callers who would otherwise move on, but it starts after the call is already lost, and in the US it requires carrier registration. It works best as a backstop, not as your phone coverage.

Missed call text back is a phone system automation: when a call goes unanswered, software sends the caller a text within seconds, usually something like "Sorry we missed you, how can we help?" The idea is simple. A caller who reaches voicemail may not leave a message, but they might answer a text.

The numbers explain why the feature exists. In CallRail's September 2025 survey of 1,000 US consumers, only 42% said they leave a voicemail when a business doesn't answer, and 78% said they have abandoned a business after an unanswered call. CallRail's January 2025 report on 1.1 million leads put the home-services missed-call rate at 14%. Our missed-call cost research walks through those sources.

How does missed call text back work?

Four things happen, usually in under a minute:

  1. A call goes unanswered. The phone system detects a call that was missed, busy or sent to voicemail.
  2. A text goes out. The software sends a pre-written message to the caller's number, from your business number.
  3. The caller replies. The reply lands in a shared inbox, or goes to a person's phone.
  4. Someone follows up. A person, or in some products an AI, picks up the conversation.

Step four is the one people skip. A text back that lands in an inbox nobody watches at 7 PM just moves the missed call somewhere else.

What tools offer missed call text back?

It usually comes as a feature inside a bigger product rather than something you buy alone:

Type of tool Examples Fits best when
Marketing and CRM platforms GoHighLevel You or your agency already run marketing there
Office communication platforms Weave You want a shared phone and text inbox
Business phone apps Allo You're replacing your phone system
AI receptionist products Upfirst You want calls answered, with text as an add-on
Reputation and messaging platforms Podium Reviews and web chat are your main gap

Check what each one means by "missed." We compare prices in our guide to the best missed call text back software for contractors. Some fire on any unanswered call. Others fire only after a call goes to voicemail, and some let you switch it off after hours.

Does missed call text back work for contractors?

It can, with limits. It helps most when the caller's problem can wait a few minutes: a quote request, a question about scheduling, a maintenance visit.

It helps least when the problem can't wait. Someone with water coming through a ceiling at 2 AM, or no heat in January, isn't looking for a text conversation. They're looking for whoever answers. In CallRail's survey, 82% said they'll call a competitor when a business doesn't answer. A text that arrives while they're dialing the next company on the list may not change that.

There's a practical issue for crews too. If the owner is the one missing calls because they're on a roof or under a sink, they're also not free to answer a text thread.

What does it take to set up?

More than most sales pages suggest. In the US, business texting from a regular 10-digit number goes through carrier registration. Twilio's documentation says "Anyone sending SMS/MMS messages over a 10DLC number from an application to the US must register for A2P 10DLC." We explain that process in our A2P 10DLC guide for contractors.

You'll typically need:

  • A number that can send texts, which rules out some landlines until they're text-enabled
  • Your legal business details and, for most businesses, a tax ID
  • A registered brand and campaign describing what you send and how people agree to it
  • A privacy policy and terms on your website
  • A message that names your business and tells people how to opt out

Text-enabling your number and registration take time, so don't plan on switching this on the same day.

Is missed call text back allowed?

This is the question to take seriously, and the honest answer is that it depends. This is general information, not legal advice. Talk to a lawyer licensed where you operate.

Carrier guidelines are the place to start because they decide whether your texts get delivered. CTIA's Messaging Principles say that if a consumer "initiates the text message exchange" and the business "only responds with relevant information," no further permission is expected. That language is about someone who texts first. It doesn't mention someone who phones you.

So a caller who phoned your business hasn't obviously opted in to texts under those guidelines. CTIA does say people can give permission "verbally," which is why a live agent or AI asking "Can I text you that?" is a cleaner path. Some texting platforms take a strict view too. Retell's campaign guidance says "You may only send a text message after the caller explicitly agrees to receive texts."

Whether a phone call alone is enough for a single follow-up text is a legal question, and state rules vary. Keep any text informational, never promotional, and ask your lawyer before you turn it on.

What should a missed call text say?

Keep it short, name your business, give the caller something easy to do, and include an opt-out. For example:

Hi, this is Ridgeline Plumbing. Sorry we missed your call. Reply here with what you need or call back at (555) 010-0199. Reply STOP to opt out.

We've collected more in our missed call text templates for contractors, organized by situation.

Is text back better than answering the call?

No. Text back recovers some of the callers you already lost, and answering keeps them in the first place. We compare the two directly in missed call text back vs an AI receptionist.

Local Call AI is an AI receptionist, so it's built around the second approach: it answers your calls 24/7, takes the details and sends them to your team. It doesn't send automatic missed call texts to callers. If you want to see how many calls you're losing first, run the free missed call audit or try the calculator.

Frequently asked questions

What is missed call text back?

It's an automation that sends a text to anyone whose call to your business goes unanswered, usually within seconds. The caller can reply by text instead of leaving a voicemail or calling a competitor.

How much does missed call text back cost?

It depends on the platform, since it's usually bundled into a larger product. Expect a software fee, carrier registration costs and per-message charges. Ask each vendor for all three, because the advertised price may cover only the first.

Do I need A2P 10DLC registration for missed call text back?

If you're sending from a regular 10-digit US number through software, generally yes. Twilio says anyone sending application-to-person texts over a 10DLC number to the US must register. Your provider should tell you how it handles registration.

Can missed call text back work on my existing business number?

Often, but not always. Your number has to be able to send texts, and the setup depends on your carrier and provider. Some landlines and VoIP numbers need to be text-enabled first, so check before you buy.

Should missed call text back run after hours?

Only if someone will see the replies, or the text sets a clear expectation about when you'll respond. For emergency trades, an after-hours text with no response can do more harm than a missed call. Our after-hours answering guide covers the alternatives.

Can I send promotions through missed call text back?

Don't. Carrier guidelines treat promotional texts as a separate category that needs express written consent. Keep a text back about the call, and get proper permission before sending anything else.
