How Much Does a Missed Call Cost an HVAC Company? (2026 July vs April Math)
In short
In a worked example for a four-truck HVAC company, the 120 calls it misses in a 480-call July cost about $36,095 in revenue, or about $401 per missed new-customer call. In April the same company misses 20 of 200 calls and loses about $2,042, or $170 per missed new call. The no-cool call carries 72% of July's loss; in April the single biggest row is the replacement quote. Repair and replacement prices are from HomeAdvisor and Angi's 2026 HVAC cost pages.
In short: in a worked example for a four-truck HVAC company, the 120 calls nobody answers in a 480-call July cost about $36,095 in revenue, or about $401 per missed new-customer call. In April the same company misses 20 of 200 calls and loses about $2,042, or $170 per missed new call. So there is no single answer to "what does a missed call cost an HVAC company". There is a July answer and an April answer, and they are 18 times apart for the month.
One thing to know first: I'm Justin McKelvey, and Local Call AI, the AI receptionist for contractors that publishes this blog, is my company. Our prices appear once, near the end. The math above that point does not depend on who answers your phone.
HVAC is the trade where the phone and the weather are the same thing. HomeAdvisor's HVAC repair page (updated June 19, 2026) and Angi's 2026 HVAC price guide (updated August 4, 2026) both put the average repair at $350, with bills from $100 to $3,000. That average is fine for a budget. It is useless for a missed call, because the call that comes in on the third 98-degree day is not an average call, and neither is the caller.
The company we model
Four trucks, an owner who still runs calls, and one person in the office who also does dispatch and billing. Two months:
- July, a heat wave: 480 inbound calls. With every tech in an attic and the office line ringing over itself, we assume 25% go unanswered, which is 120 missed calls.
- April, shoulder season: 200 inbound calls. The phone is quiet enough that we assume only 10% are missed, which is 20 missed calls.
Both missed rates are planning assumptions, not measured data. Our 2026 missed-call cost research collects what published studies and vendors say about unanswered calls in home services, including one South Carolina HVAC company's own 90-day count. Your carrier's call log beats all of them.
What each missed call is worth in July
Values come from the two cost pages. A no-cool call is priced at $725, the middle of Angi's $450 to $1,000 range for repairing an air conditioning unit. An old system that needs replacing is priced at $5,650, the middle of the $3,800 to $7,500 both pages give for a new AC. Other repairs use the $350 average, and a tune-up uses $135, the middle of Angi's $70 to $200.
| July missed call | Missed | Value used | Booked if answered | Lost even after callback | Revenue lost |
|---|---|---|---|---|---|
| No cool, AC down | 60 | $725 | 70% | 85% | $25,882.50 |
| Old system, repair costs half of a new one | 10 | $5,650 | 30% | 50% | $8,475.00 |
| Weak cooling, noise, thermostat, drain line | 15 | $350 | 60% | 50% | $1,575.00 |
| Tune-up from a new customer | 5 | $135 | 60% | 40% | $162.00 |
| Existing customers (status, scheduling) | 18 | $0 today | $0 | ||
| Not a job (spam, vendors, wrong number) | 12 | $0 | $0 | ||
| Total | 120 | $36,094.50 |
Each row is missed calls times value times the chance you would have booked it, times the share a callback does not win back. No cool: 60 × $725 × 70% × 85% = $25,882.50.
That is $401.05 per missed new-customer call (90 of them) and $300.79 averaged over all 120.
Why the no-cool call is 72% of July
Sixty calls carry $25,882.50, about 72% of the month. The reason is the callback column. A family with a 90-degree house does not wait for you to finish the job you are on. They call the next company on the map, and the one after that, and book whoever gives them a time today. So we assume an hour-later callback loses 85% of them. Compare the tune-up caller, who will happily take a Tuesday next week and loses only 40%.
The replacement row is smaller in July but not small: $8,475, 23%. Both cost pages give the same rule of thumb, replace when the repair costs half of a new unit, so some no-cool calls on old equipment are really replacement calls. Those callers collect two or three quotes, which is why we only assume 30% book you even when you answer, and why a callback the same afternoon still gets half of them back.
The same company in April
| April missed call | Missed | Value used | Booked if answered | Lost even after callback | Revenue lost |
|---|---|---|---|---|---|
| No cool (first warm days) | 3 | $725 | 70% | 50% | $761.25 |
| Old system, replacement quote | 1 | $5,650 | 30% | 50% | $847.50 |
| Other repair | 4 | $350 | 60% | 40% | $336.00 |
| Tune-up from a new customer | 4 | $135 | 60% | 30% | $97.20 |
| Existing customers | 4 | $0 today | $0 | ||
| Not a job | 4 | $0 | $0 | ||
| Total | 20 | $2,041.95 |
That is $170.16 per missed new call and $102.10 across all 20. Two things changed. The callback column softened, because a no-cool call on a 78-degree day can wait a few hours. And the mix moved: one missed replacement quote, $847.50, is now the biggest row at 42% of the month. In shoulder season the phone is mostly tune-ups and small repairs, and the call worth chasing is the homeowner who decided over the winter that the old unit is done.
The no-cool call at 9 PM
Angi says repairs made after business hours usually add $40 to $80 an hour. Take $60 an hour on the two-hour job HomeAdvisor uses as its example, so $120 on top of the $725 repair. At July's booking and callback rates, a missed after-hours no-cool call costs $502.78, against $431.38 for the same call at noon. If you run an on-call tech in summer, the evening phone is where they earn their keep. Our page on emergency HVAC answering covers how no-cool and no-heat calls get triaged.
And the first cold night
The winter version works the same way with a smaller ticket. Angi's furnace repair range is $130 to $1,200, so we use $665. At the same 70% booked and 85% lost, a missed no-heat call costs about $395.68. A furnace replacement runs $2,600 to $6,200 on both pages, below the AC figure, so a missed call in a December cold snap is worth a little less than one in a July heat wave, but only a little.
How sure are these numbers?
The repair and replacement values are from HomeAdvisor and Angi. Everything else is a guess you should replace, and the booking chances carry the most weight: halve every one and July still loses $18,047.25. Location matters too. Angi's state averages run from $330 in Texas and Florida to $575 in California, so a California shop should push every repair row up. These are revenue figures before equipment, labor and fuel. And the 18 existing customers we priced at $0 are not free: Angi puts HVAC service contracts at $150 to $500 a year, and a maintenance-plan member who cannot get through during a heat wave is a renewal you may not get.
What it costs to answer an HVAC phone, by season
Local Call AI has three plans. Standard is $297 a month with 250 call minutes, Connected is $497 with 500, and Concierge starts at $750 with 1,000. Past the plan, each minute is $0.35, and English and Spanish are on every plan. A new-customer intake (address, system type, symptom, how hot or cold the house is, your service-call fee) takes about 3 minutes; everything else about 1.5. The AI gives the service-call fee you set and never quotes a repair or a new system.
| What you forward | Minutes | Standard ($297) | Connected ($497) | Concierge (from $750) |
|---|---|---|---|---|
| Every July call (480) | 1,260 | $650.50 | $763.00 | from $841.00 |
| Only July's missed calls (120) | 315 | $319.75 | $497.00 | from $750.00 |
| Every April call (200) | 480 | $377.50 | $497.00 | from $750.00 |
| Only April's missed calls (20) | 48 | $297.00 | $497.00 | from $750.00 |
Two honest notes on that table. One no-cool repair at $725 covers the biggest July bill on Standard. And on minutes alone, Standard stays cheaper than Connected until about 821 minutes a month, so Connected is not the "summer plan". You pay for it because it texts the tech on call, routes by your on-call schedule, and files new customers into Jobber or JobNimbus (the only two systems we connect to). Concierge adds an emergency live transfer to your on-call tech and recognizes returning customers mid-call, which is where a maintenance-plan member in July gets treated like one. Our HVAC answering service comparison lines up the other services, and plan details are on the pricing page.
Same house, a different trade
A plumber's best missed call is the homeowner with no hot water, who has time to shop and a water heater job behind the call. Our plumber missed-call math found it carries about half of that shop's loss. The HVAC version is the replacement quote in April: a quiet call, a big ticket, and a caller who hires the first company that calls back with a time.
Check your own phone
Pull last July's and last April's call logs from your carrier. Mark every unanswered call, call back a sample and sort them: no cool or no heat, replacement, other repair, tune-up, existing customer, not a job. Put your own ticket on each row. Our missed-call calculator will total it. If July is where the money is, fix the phone before the first 90-degree week, not during it.
Frequently asked questions
How much does a missed call cost an HVAC company?
In our worked 2026 example, a four-truck HVAC company loses about $401 per missed new-customer call in a July heat wave, and about $36,095 across 120 missed calls in a 480-call month. In April the same company loses about $170 per missed new call and $2,042 for the month. Repair and replacement values are from HomeAdvisor and Angi; call counts, missed rates, booking chances and callback losses are assumptions to replace with your own.
Which missed call costs an HVAC company the most?
In summer, the no-cool call: in our July example it is 60 of 90 missed new calls and about 72% of the lost revenue, because the caller keeps dialing until someone gives them a time today. In shoulder season it is the replacement quote, worth $5,650 on the midpoint of the $3,800 to $7,500 AC replacement range both cost pages give.
How much is an after-hours HVAC call worth?
Angi says after-hours HVAC repairs usually add $40 to $80 an hour. Adding $120 (two hours at $60) to a $725 no-cool repair, a missed after-hours call costs about $502.78 in our example, against about $431.38 for the same call during the day.
Do HVAC companies miss more calls in summer?
Usually yes, because call volume jumps when the weather turns and the techs who would answer are on jobs. We assume a 25% missed rate in a July heat wave and 10% in April. Those are planning numbers, not measured data, so check two weeks of your own carrier log in each season.
What does an answering service cost an HVAC company?
Local Call AI is $297 a month with 250 minutes and $0.35 a minute after. In our example, answering every call in a 480-call July (1,260 minutes) costs $650.50 on Standard or $763 on Connected, which texts your on-call tech and files new customers into Jobber or JobNimbus. Forwarding only the calls nobody picks up costs $319.75 in July and $297 in April on Standard.
