How Much Does a Missed Call Cost a Propane Company? (Priced in Gallons, 2026)
In short
Most missed calls cost a propane dealer nothing, because a will-call order still gets delivered after the callback. The cost sits on two calls: a new customer and a run-out. On EIA's October 2026 numbers a propane-heated home burns 494 gallons a winter and the retail-to-wholesale spread is $1.447 a gallon, so an account is worth about $715 a winter in gross spread. In our January cold-snap example, 96 missed calls lose 6 accounts: about $21,445 over five winters.
In short: most calls a propane dealer misses cost nothing, because a customer whose will-call order went to voicemail still gets the delivery after you call back. The money sits on two kinds of call: a new customer who signs with whoever answers, and a run-out who reached voicemail with no heat. On the U.S. Energy Information Administration's October 2026 figures, a propane-heated home burns 494 gallons a winter and the gap between the residential and wholesale price is $1.447 a gallon, so one account is worth about $715 a winter in gross spread. In our January cold-snap example the 96 missed calls lose 6 accounts, about $4,289 this winter and $21,445 over five.

Other trades price a missed call by the job. A propane dealer cannot, because the caller is not buying a job. They are buying gallons, all winter, for years. So the question is not "what was that call worth" but "did that call cost me an account."
What a propane account is worth, in EIA numbers
EIA's weekly survey for the week of October 19, 2026 puts the U.S. average residential propane price at $2.689 a gallon and the wholesale price at $1.242, both before taxes. The difference, $1.447, is the gross spread: what a dealer has left per gallon to pay for trucks, drivers, tanks, the office and profit. It is not your margin, but it is the same yardstick for every dealer.
EIA's Winter Fuels Outlook for 2026-27 expects a home that heats mainly with propane to use 494 gallons from November through March and spend about $1,246. Multiply the gallons by the spread and one account is worth $714.82 of gross spread per winter. If a customer stays five winters (our assumption; your churn report knows the real figure), that is $3,574.10. That is the number a lost account costs, not the price of one fill.
Region changes the answer more than gallons do
The same arithmetic by region, pairing EIA's regional gallons with its regional prices (the outlook uses Census regions and the weekly survey uses fuel-supply regions, so this is approximate):
| Region | Winter gallons | Retail minus wholesale | Gross spread per account, per winter |
|---|---|---|---|
| Northeast | 515 | $3.693 - $1.317 = $2.376 | $1,223.64 |
| South (Gulf Coast prices) | 365 | $3.034 - $1.162 = $1.872 | $683.28 |
| Midwest | 641 | $2.156 - $1.217 = $0.939 | $601.90 |
| U.S. average | 494 | $2.689 - $1.242 = $1.447 | $714.82 |
A Midwest home burns the most propane and is worth the least in spread. A Northeast account is worth about twice a Midwest one on fewer gallons. A Northeast dealer should put a higher value on every new-customer call than the national math suggests; a Midwest dealer, a lower one.
January: the run-out month
Our propane answering service comparison models a two-truck dealer's January cold snap at 390 calls: 220 will-call orders, 45 run-outs, 10 gas-smell calls, 25 new customers, 60 billing calls and 30 that are not your business. Say a quarter go unanswered while the owner drives and the office is buried: 55 will-call orders, 12 run-outs, 2 gas-smell calls, 5 new customers, 15 billing calls and 7 others, 96 missed calls.
- The 55 missed will-call orders cost almost nothing. The callback happens, the order goes on the next route, and the gallons are sold. The exception is a customer who runs dry before you call back. We assume 4 do.
- Run-outs are the expensive call. The Propane Education & Research Council says that if a tank runs empty, a qualified professional must inspect the system before it is used again. So a run-out is a truck, a leak check and someone at home, and the customer remembers who answered at 11 PM. With the 12 missed run-out calls and the 4 will-call customers who ran dry, 16 people with no heat reached voicemail. We assume 1 in 4 of them moves to another supplier after the winter: 4 accounts.
- New customers in a cold snap do not wait. They need gas this week. We assume 40% of the 5 would have signed and none of them wait for a callback: 2 accounts.
- Billing and other calls are a nuisance to miss, not a loss.
| Missed January call | Missed | Accounts lost | This winter ($714.82 each) | Five winters ($3,574.10 each) |
|---|---|---|---|---|
| Run-out, or will-call that ran dry | 12 + 4 | 4 | $2,859.28 | $14,296.40 |
| New customer | 5 | 2 | $1,429.64 | $7,148.20 |
| Will-call delivered after callback | 51 | 0 | $0.00 | $0.00 |
| Gas smell, billing, other | 24 | 0 | $0.00 | $0.00 |
| Total | 96 | 6 | $4,288.92 | $21,444.60 |
Averaged over every missed call that is $223.38 each, but the average hides the point: 21 of the 96 calls carry the entire loss. A dealer who answers only the run-outs and the new customers keeps nearly all of it.
The gas-smell call is not a revenue line
Two of the missed January calls were gas smells. They do not appear in the money table, and they are still the worst calls on the list to miss. PERC's advice to a homeowner who smells gas is to call the propane retailer, 911 or the fire department, so some of those callers are calling you first. Whoever answers should read your safety line before asking anything else and get the call to your on-call driver. A voicemail greeting cannot do that.
October: the sign-up month
Fall turns the mix around. Before the first cold snap, people moving into a house with a tank, people unhappy with last winter's supplier and people setting up a budget plan all call. Say October brings 170 calls: 60 will-call orders, 40 new customers, 50 billing and budget-plan calls, 3 gas smells, 2 run-outs and 15 others. The office misses 28: 9 will-calls, 8 new customers, 8 billing calls and 3 others.
An October shopper calls two or three dealers and can wait a day, so we assume half of the 8 would have signed and a callback still wins back half of those. That is 2 accounts, about $1,429.64 this winter and $7,148.20 over five, all from new-customer calls. In January the loss came mostly from run-outs; in October it comes entirely from sign-ups. Our HVAC missed-call math prices each call as a repair or a replacement; a fuel dealer has to price it as years of deliveries.
How much rests on our guesses?
EIA supplied the prices and gallons; the rest is ours. Two assumptions carry the numbers: that 1 in 4 run-out customers who reached voicemail leaves, and that an account stays five winters. Halve the first and the January loss drops to 4 accounts. Use your own delivery cost per gallon, and the spread turns into your real margin. The other trades' figures are collected in our 2026 missed-call cost research.
What it costs to answer a propane dealer's phone
Local Call AI's Standard plan is $297 a month with 250 call minutes, Connected is $497 with 500, and Concierge starts at $750 with 1,000. Every plan bills $0.35 a minute past its allowance and answers in English and Spanish. Call lengths match our propane comparison: a will-call order about 2.5 minutes, a run-out or a new customer about 4, billing about 2, a gas-smell call and anything else about 1.5.
| What you forward | Minutes | Standard ($297) | Connected ($497) | Concierge (from $750) |
|---|---|---|---|---|
| Every January cold-snap call (390) | 1,010 | $563.00 | $675.50 | from $753.50 |
| Only the January calls nobody picks up (96) | 249 | $297.00 | $497.00 | from $750.00 |
| Every October call (170) | 445 | $365.25 | $497.00 | from $750.00 |
One account kept covers the Standard plan for more than two months at the U.S. spread. Connected texts a run-out to the driver on call. We integrate with Jobber and JobNimbus only, not with fuel-delivery or route software, and the AI never tells a caller to relight a pilot or reopen a valve. Plan details are on the pricing page.
Find your own number
Pull last January's missed calls from your carrier and sort them: will-call, run-out, new customer, gas smell, other. Count how many of the run-out callers are still your customers. Then take your own delivered price minus your rack cost, times your average gallons per account, and you have your account value. Our missed-call calculator does the rest.
Frequently asked questions
How much does a missed call cost a propane company?
Usually nothing, and occasionally a whole account. In our January example a two-truck dealer misses 96 of 390 calls and loses 6 accounts: about $4,289 of gross spread this winter and $21,445 over five winters, or $223 per missed call on average. All of it comes from 21 calls: run-outs and new customers.
What is a propane customer worth to a dealer?
On EIA's October 2026 figures, a propane-heated home uses 494 gallons from November through March, and the residential price ($2.689) minus the wholesale price ($1.242) is $1.447 a gallon. That makes about $714.82 of gross spread per winter, before delivery and overhead. In the Northeast, at $2.376 a gallon of spread, it is about $1,224; in the Midwest about $602.
Does a missed will-call delivery order cost a propane dealer anything?
Rarely. The customer usually waits for the callback and the gallons are still sold. The risk is a customer who runs dry first: PERC says an empty tank means a qualified professional must inspect the system, so the miss becomes a run-out visit, and some of those customers switch suppliers.
When do missed calls cost a propane dealer the most?
In a cold snap the loss comes from run-out customers who reached voicemail; in October it comes from new customers signing up before winter. In our examples January loses 6 accounts on 96 missed calls and October loses 2 on 28.
What does an answering service cost a propane dealer in January?
On Local Call AI, a 390-call cold-snap January is about 1,010 minutes: $563 on Standard ($297 with 250 minutes, then $0.35 a minute) or $675.50 on Connected. Forwarding only the 96 missed calls is about 249 minutes, inside Standard's 250, so $297.
